Reservations
When booking your holiday with Ihunde Safaris, please provide your intended dates of arrival and departure, number of travelers, genders & ages, accommodation preferences, and flight details (if known). This helps us tailor arrangements to your satisfaction.
Upon confirmation, inform us of any preferences or special requests (medical needs, disability-related requirements, diet, etc.). We will try our best to accommodate requests where possible.
While every effort is made to ensure arrangements are satisfactory, Ihunde Safaris cannot accept liability for any injury, damage, or delay caused directly by hotels, restaurants, flights, or other service providers.
Tour Price
Quotes include transportation as per itinerary, park entrance and conservation fees, a safari guide, sightseeing, permits where applicable, boat safaris, meals mentioned in itinerary, accommodation, driver allowances, and drinking water in the vehicle.
Quotes exclude traveler insurance (purchased individually), airport taxes, international flights, visa fees, tips, meals not mentioned, optional activities, drinks/alcohol, telephone calls, laundry, and personal expenses.
Prices are subject to change until fully confirmed. Ihunde Safaris reserves the right to adjust prices if exchange rates fluctuate or supplier costs increase, while making every effort to minimize changes.
Gorilla Permits
To reserve permits we need the bio-data page of your passport. For gorilla tracking, we strongly recommend booking at least three months in advance (more during high season).
Children under 15 are not allowed to track chimpanzees and gorillas. Anyone showing signs of communicable disease will not be allowed. Ihunde Safaris bears no responsibility for individuals denied tracking by park authorities.
Payment
A 50% deposit is required at booking to confirm your safari. For tours including gorilla/chimp trekking, part of the deposit is used to purchase permits and is non-refundable.
The balance is due 30 days before the safari (unless otherwise agreed). If booking is within 30 days of departure, full payment is required at confirmation.
Prices are in US dollars. Card payments (MasterCard/AmEx/Visa) attract a 4% bank surcharge and should be made preferably two months before the safari. Bank transfer is accepted (client covers bank charges; we receive net). Failure to pay may result in cancellation.
Once a Tour Agent confirms a booking, they are fully responsible for payment to Ihunde Safaris. Monthly statements may be arranged for larger agents at our discretion.
Cancellation
All cancellations must be made in writing to the reservations team and are effective on the date received. Refunds are subject to supplier and bank cancellation fees.
The above fees apply to pre-booked/pre-paid activity packages. We reserve the right to deduct expenses incurred from any money paid.
Transfer of Booking
If you are unable to travel due to extraordinary circumstances, we may transfer your booking to another party provided suppliers (permits, lodges, etc.) accept the transfer and arrangements remain the same. Certain permits may be transferable under specific conditions.
Alteration of Itinerary
If you wish to amend your reservation, Ihunde Safaris will try to accommodate changes and may charge an amendment fee based on additional costs incurred.
We may alter routes/arrangements due to circumstances (security, road closures, weather, hotel issues, etc.) and will notify you as early as practical.
No refund is payable if you fail to join, join after departure, or leave before completion. We may refuse participation if behavior causes danger, hazard, inconvenience, or damage—no refund applies.
Transport
Transport depends on number of clients and route. Vehicles are maintained roadworthy, but we cannot accept liability for punctures, breakdowns, delays, or damage due to poor road conditions.
We use 4×4 vehicles with pop-up roofs where needed. Larger groups may use coasters without pop-up roofs. Driver/guide decisions on routing are final.
Accommodation
Accommodation is typically twin/double rooms or tents with private bathrooms. Single rooms may be available with a supplement, but not always guaranteed.
Many lodges have limited capacity, so booking early is essential. We choose small, intimate lodges for a memorable experience. Equivalent or superior substitutions may be made if necessary.
Insurance – Emergency & Safety
You must have appropriate travel insurance covering medical expenses, death/personal injury, repatriation, cancellation, and loss of personal property. Clients should take necessary immunizations and bring required medications.
Liability
Ihunde Safaris and its agents act as agents of passengers for accommodation, tours, airlines, etc. While every care is taken, we are not liable for injury, delay, loss, or damage to person or property.
We cannot pay compensation for events beyond our control (flight delays, force majeure, war/riots, terrorism, border closure, strikes, pandemics, disasters, extreme weather, fires, technical problems, etc.).
Complaints / Refund
Complaints must be reported immediately to the driver-guide or Ihunde Safaris representative and the supplier. If unresolved, submit a written complaint within 15 days after completion for investigation.
No refunds for unused services, late arrival, or no-shows. Gorilla permits remain non-refundable (transferable only in limited circumstances). If the Company cancels a tour, the tour price is refunded and that is the Company’s sole liability.
Viewing Animals
Viewing wildlife is a privilege. Keep a safe distance while taking photographs. Permits guarantee tracking in habitat, but not that animals will be in plain sight.
In many African countries it is illegal to buy wildlife products. Avoid purchasing items made from animal parts to support conservation.
